How it works

From signing up to your team and your auditors using the assistant. Our team does the building — your part is sending us what you already have, then reviewing and approving what we produce.

What it is — and what it is not

It is a preparation assistant. It tracks the requests your auditors make, collects and indexes evidence, keeps checklists and a readiness score, prepares walkthroughs and tells people what is outstanding.

It is not an auditor. It never gives an opinion or assurance, never concludes that a control works, never comments on materiality, and never predicts how an audit will turn out. It cannot accept or close a request, and it cannot change or remove evidence. People do all of that.

Your 14-day free trial

Signing up starts a free trial. There's no card required, and the 14 days begin the day your assistant first goes live — not the day you sign up — so the time we spend building it is never taken out of your trial.

Your dashboard shows how many days remain, and we email you before it ends. If the trial finishes without a plan, the assistant pauses — nothing is deleted, and everything picks up exactly where it left off when you subscribe.

Step 1 — You send us your material

This is the only real work on your side. Send whatever already exists:

  • Last year's list of requests (the PBC list) and any findings or management letters you want the team to remember.
  • Your control summary or risk-and-control matrix, and the policies that describe how you work.
  • Who is involved: the reviewers, who owns which requests, and who the auditors are.
  • Where restricted matters should go — a named person and an emergency or support contact.

It does not need to be tidy or complete. Structuring it is our job, and we'll come back to you with specific questions where something is missing. Please do not email ledgers, payroll or bank statements — there is a secure way to supply those, and we'll show you.

Step 2 — We build and configure it

Our setup team works inside your account and does all of the following for you:

  • Creates the engagement, the checklist and the request list with owners and due dates.
  • Adds the people and their roles, and invites your external auditors so they see only what you share with them.
  • Builds the knowledge the assistant answers from, so it describes your documented process rather than general knowledge.
  • Sets the safety rules: what needs confirmation, what only a reviewer can do, and where restricted matters are routed.

Every action we take on your behalf is written to your audit log with who did it, when, and what it was based on. You can read that log at any time.

Step 3 — You test it

When it's ready, it moves into a testing stage and we hand it to you. Try it the way your team would: ask what is outstanding, ask for an upload link, ask something it shouldn't answer, and see that it says so plainly.

Tell us what's wrong and we adjust it. This loop repeats as many times as it needs to.

Step 4 — You approve, and it goes live

The assistant cannot go live until you explicitly approve it, and not until the basics are in place: a named contact for restricted matters, an engagement with a reviewer, and an owner and due date on every mandatory request.

Once approved, your people use it by:

  • Opening the assistant from your portal or a link in the request emails, and verifying with their email address (a six-digit code is sent to the address we hold for them).
  • Asking what is outstanding, receiving a private upload link for each item, and marking an item submitted once the evidence is in.
  • Your reviewers deciding what to share with the auditors, and accepting or returning submitted items in the dashboard.

What your external auditors see

Auditors are invited to a specific engagement. They see the requests on that engagement and only the evidence you have explicitly shared with them. They never see your client-only comments, your internal readiness detail, other engagements or anything about another organisation. You can stop sharing, or remove an auditor, at any time and it takes effect at once.

Restricted matters

If someone tells the assistant about a suspected irregularity, asks it to change or hide a document, describes pressure on an auditor, or raises a conflict of interest, the assistant does not investigate or accuse. It declines to help with anything that would alter the record, stays neutral, and passes the matter to the people you named. Those cases are visible only to them — not to other staff, not to our team, and never in general reports.

What if something's wrong?

Raise it from the Support section of your dashboard and it goes straight to our team with your account context attached. If the assistant said something it shouldn't have, tell us — we'll fix the underlying knowledge or instruction, not just the one answer.
